How to Merge Rows in Excel without losing data
Home › Merge Cells only keeps the top value and throws the rest away. To keep everything, combine the text.
Join several rows into one cell
=TEXTJOIN(", ",TRUE,A2:A5)
The comma-space goes between items; TRUE skips blank cells. See TEXTJOIN.
Each item on its own line
=TEXTJOIN(CHAR(10),TRUE,A2:A5)
Turn on wrap text to see the line breaks.
Older Excel: the & operator
=A2&" "&A3&" "&A4
Without a formula: Justify
- Make column A wide enough for the combined text.
- Select the cells in one column.
- Home › Fill › Justify.
The text flows up into the first cell. Works for plain text only (no numbers or formulas).
Merge rows that share a key
List per customer, all orders in one cell. Get unique customers with =UNIQUE(A2:A100) in D2, then in E2:
=TEXTJOIN(", ",TRUE,FILTER(B$2:B$100,A$2:A$100=D2))
Freeze the result
Copy the formula cells › Paste Special › Values, then delete the originals. Paste Special.
