How to Hide Rows in Excel (and unhide them)
Hidden rows are still there — formulas use them, they just do not show or print.
Hide rows
- Click the row number. For several, drag across the numbers, or Ctrl + click scattered ones.
- Press Ctrl + 9. Or right-click › Hide.
Hide all rows that match something
Filter the column (Ctrl + Shift + L) and untick the values you don’t want. The other rows hide themselves. Clear the filter to bring them back.
Unhide one row
Select the row above and below it (drag across the numbers), right-click › Unhide. Or Ctrl + Shift + 9.
Unhide all rows
Click the corner triangle, then Ctrl + Shift + 9. Full lesson: unhide all rows.
Collapse sections instead
Select the rows › Data › Group. A − button appears on the left. Click to collapse, + to expand. Better than hiding when you will toggle often.
Check it worked
Row numbers skip (1, 4, 5) and a slightly thicker line marks the gap.
Common mistakes
SUM still counts hidden rows. Use =SUBTOTAL(109, A1:A100) to total only visible rows.
Copy takes hidden rows too. Select, F5 › Special › Visible cells only, then copy.
