Excel Flash Fill (Ctrl+E): clean data by typing one example
Flash Fill watches what you type in the first cell, guesses the pattern, and fills the rest of the column. No formula.
How to use it
- Put the cursor in the column right next to your data.
- In the first row, type the result you want — e.g. the first name from “Asha Rao”.
- Move to the cell below and press Ctrl+E (or Data › Flash Fill).
Excel fills every row. If a few are wrong, correct one of them and Flash Fill adjusts the rest.

What it can’t do
- It doesn’t update. Results are typed values. Change the source and the Flash Fill column stays the same. Need live results? Use formulas: name formulas, TEXTSPLIT.
- Inconsistent data (some names with a middle name, some without) confuses it. Scan the results.
Ctrl+E does nothing
- The column must be directly next to the data, with no blank column between.
- Automatic Flash Fill is off: File › Options › Advanced › tick Automatically Flash Fill.
- You’re inside an empty sheet with no pattern to copy — type at least one example.
- Excel 2010 or older doesn’t have it.
